Privacy and school records
ScholarOs processes account details, learner profiles, attendance, assessments, school communications and financial records to provide services requested by your school. Some schools also use restricted welfare and medical workflows.
Who manages your information
Your school manages its records, user access and retention decisions. Contact your school office to request access, a correction, an export or account closure. Platform support can assist an authorized school administrator through the contact page.
Access and notifications
Accounts receive access according to their school and role. The service records security and administrative activity. Optional push notifications use Google Firebase Cloud Messaging; device registration tokens are stored to deliver alerts. Push alerts contain a generic message. Open your authenticated workspace to read the underlying record. You can disable browser notifications in Account security or Android notifications in your phone settings.
Payments and providers
Enabled payment providers process checkout and settlement. ScholarOs stores payment references and reconciliation records. It does not request or store card PINs. Email and SMS providers process destination addresses and message contents when those channels are used. Hosting and backup providers store service data under the school’s service arrangements.
Storage and retention
School records remain available for the school’s authorized purposes and agreed retention period. Suspension disables access and preserves records. Deletion requests require the school to review its recordkeeping obligations. Operational live events are retained for seven days; inactive push device registrations expire after 90 days. Backup retention is defined in the school’s service agreement.
Session data is used for sign-in. Offline attendance, when enabled by a staff member, stores a local register on that device. Sign out after using a shared device. Do not share account credentials.
